Please read these Terms & Conditions carefully before completing your booking. By reserving your place, you confirm that you have read, understood and agreed to the terms below.
RHEIA Retreats is a small independent business, and each reservation holds significant value for us. A great deal of care, time and preparation goes into each retreat, along with non recoverable costs that are required in advance to bring the experience to life.
By completing your booking and transferring your deposit, you confirm that you have read, understood and agreed to the Terms & Conditions outlined below.

Reservation & Deposit
To secure your place at a RHEIA Retreat, a non refundable deposit of €1.000 is required.
Your booking is only confirmed once this deposit has been received. We are unable to reserve spots without payment.
The deposit forms part of your total retreat fee and will be deducted from the final balance.
The deposit may be transferred to another participant or, at the sole discretion of RHEIA Retreats, to another retreat date, subject to availability and written approval.
Final Payment
The remaining balance must be paid no later than 80 days before the retreat start date.
A reminder will be sent. If payment is not received by the due date, your spot may be released and your deposit forfeited.
Payment Plans
Flexible payment plans of up to four instalments may be available upon request.
All payment plans must be agreed in writing and completed no later than 80 days before the retreat start date.
Cancellation & Changes
More than 80 days before the retreat, you may transfer your booking to another RHEIA retreat within the same calendar year, subject to availability and price differences.
If you choose to cancel entirely, your €1.000 deposit is non refundable. Any additional payments made will be refunded, excluding bank charges or payment processing fees.
Within 80 days of the retreat, all payments become non refundable and non transferable. No changes can be made at this stage.
If you are no longer able to attend, you may transfer your place to another participant, provided you notify us in writing and receive written approval from RHEIA Retreats.
Room Allocation
Rooms are allocated by RHEIA Retreats. While we do our best to honour preferences, we cannot guarantee specific rooms or room locations.
Participants booking a shared suite acknowledge that they may share the room with another participant selected by RHEIA Retreats, unless booking together.
Participation & Group Experience
RHEIA Retreats are group experiences, not private or personalised one on one programs.
While individual support is offered where possible, the retreat is designed for a collective group experience and cannot be adapted to individual preferences at all times.
Participants are expected to contribute to a respectful, supportive and safe group environment. RHEIA Retreats reserves the right to remove any participant whose behaviour negatively impacts the wellbeing of the group.
Health, Responsibility & Insurance
Participation in all activities is at your own responsibility.
We strongly recommend comprehensive travel and cancellation insurance that covers unforeseen circumstances.
If you are travelling from outside the retreat country, valid international health insurance is required.
By joining the retreat, you confirm that you are physically and mentally able to participate in the activities offered. If you have any existing physical or mental health conditions, or are taking medication, we kindly ask you to inform us in advance so we can ensure the retreat is appropriate for you.
RHEIA Retreats is not a medical or psychological service. All practices are intended for general wellbeing and personal development purposes only and are not a substitute for medical or therapeutic treatment.
Assumption of Risk
Certain retreat activities may involve physical movement, emotional processing, bodywork or exposure to natural environments.
By participating, you acknowledge these inherent risks and voluntarily accept responsibility for your participation.
Dietary Requirements
We do our best to accommodate dietary preferences and allergies where reasonably possible.
However, we cannot guarantee an allergen free environment. Participants are responsible for informing RHEIA Retreats of any allergies, intolerances or dietary needs before the retreat begins.
Payments & Refunds
Due to significant upfront costs involved in organising each retreat, all payments are non refundable within 80 days of the retreat start date.
This applies to all circumstances, including illness, personal emergencies, travel disruptions or changes in personal plans.
No refunds will be issued for late arrival or early departure.
Travel & Transport
Participants are responsible for arranging their own transportation to and from the retreat location, unless otherwise stated in writing.
We recommend booking travel arrangements with flexible or refundable options.
Travel Disruptions & Force Majeure
RHEIA Retreats cannot be held responsible for external circumstances outside of our control. This includes, but is not limited to, flight cancellations, delays, strikes, weather conditions, natural disasters, pandemics, government restrictions, war, civil unrest or venue closures.
We strongly recommend booking flights only once the retreat is confirmed or ensuring your travel insurance covers such situations.
Alcohol, Substances & Wellbeing
To support the integrity of the retreat experience and the focus on nervous system regulation and wellbeing, the use of alcohol or non prescribed substances during the retreat is not permitted.
Photography, Digital Use & Presence
RHEIA is a space designed for presence, rest and reconnection.
Professional content creation, commercial filming or brand related photography is not permitted during the retreat.
Phone use is limited during practices, workshops and group sessions. We ask that devices are used respectfully and discreetly outside of shared experiences, ensuring privacy and presence for all participants.
Any photography of other guests must always be done with their consent.
From time to time, RHEIA Retreats may capture photographs or short videos for promotional purposes. Participants who prefer not to appear in any content should notify us in writing before the retreat begins.
Cancellation by RHEIA
In the unlikely event that RHEIA Retreats must cancel or reschedule a retreat, participants will receive a full refund of all payments made to RHEIA Retreats.
Where possible, an alternative date will be offered.
RHEIA Retreats cannot be held responsible for any additional costs incurred, including flights, accommodation or travel arrangements.
Conduct & Rights
RHEIA Retreats reserves the right to remove any participant from the retreat if their behaviour is disruptive or negatively impacts the group experience. In such cases, no refund will be issued.
RHEIA Retreats also reserves the right to make necessary changes to the program, facilitators, venue details or schedule if required.
Participants are responsible for any damage caused to the property or venue during their stay.
Participants are responsible for their own personal belongings during the retreat. RHEIA Retreats accepts no liability for lost, stolen or damaged items.
Privacy
Personal information is processed in accordance with our Privacy Policy and used solely for retreat administration, communication and booking related purposes.
Governing Law
These Terms & Conditions are governed by Belgian law. Any disputes shall be subject to the exclusive jurisdiction of the Belgian courts.
